This is a remote position.

Schedule: 8 AM to 5 PM Monday to Friday (11 PM to 8 AM Manila Time / 10 AM to 7 PM Colombia Time)
Time zone: PST

About the Role:
We’re seeking a focused and efficient Operations Assistant to bolster our growth and expansion efforts! In this pivotal role, you'll be integral to our daily operations and overall company success. The ideal candidate possesses exceptional attention to detail, outstanding time and project management skills, and previous experience in the construction industry. If you thrive on a variety of tasks within a structured routine, value autonomy in problem-solving, and maintain a commitment to excellence, this position is tailor-made for you.


Responsibilities:

  • Deliver exceptional service to both internal and external stakeholders consistently.
  • Monitor and manage company communication channels, including phone, email, and social platforms.
  • Efficiently review, accept, and dispatch service requests with precision and accuracy.
  • Coordinate with customers to schedule services, follow up on completion, and ensure satisfaction.
  • Liaise with vendors to obtain pricing, place orders, and facilitate follow-up as necessary.
  • Execute daily invoicing and quoting processes with meticulous attention to detail.
  • Continuously refine and optimize company systems and processes for enhanced efficiency.
  • Conduct research and prepare information for internal and external dissemination.
  • Provide executive assistant support to the CEO and other leaders as requested.
  • Undertake any additional duties as assigned to support company objectives.


Requirements
  • Minimum of one year of experience supporting operations within the construction industry.
  • Exceptional attention to detail and organizational skills are non-negotiable.
  • Proven ability to work efficiently, resolve challenges independently, and meet deadlines with minimal supervision.
  • Possess a positive attitude, a customer-centric orientation, and maintain a professional demeanor.
  • Strong verbal and written communication skills in English; proficiency in Spanish is advantageous.
  • Proficient in Google Workspace, accounting software (for invoicing), and project management tools.
  • Act with integrity, professionalism, and maintain confidentiality at all times.
