Job Summary:
Be part of our client’s team as an AU Mortgage Assistant, contributing to seamless operations. Organize correspondence, assist in workflow and planning, handle confidential information, and excel in customer service. From transcribing meetings to managing travel logistics and creating presentations, your role is crucial in maintaining efficiency.
- Employment type: Full-time
- Shift: Mon-Fri; 7AM-4PM
- Work setup: Permanent WFH (Onsite for client visits and engagement activities)
Responsibilities:
- Organize correspondence and answer emails
- Assist the team with workflow and planning
- Process documentation and provide system management advisory
- Handle confidential employer and client information
- Take notes or transcribe meetings
- Arrange travel itineraries, book flights, car rentals, and hotel rooms
- Schedule meeting spaces and conference rooms
- Create expense reimbursements
- Present excellent customer-service skills with customers, clients, and team members
- Schedule meetings and arrange the employer’s calendar
- Deliver messages and mail on behalf of the employer
- Manage filing systems, update records, and organize documentation
- Prepare and create PowerPoint and Word presentations and materials as needed
Qualifications Needed:
- Associate’s or bachelor’s degree preferred
- Two (2) years’ previous experience handling assistant or administrative responsibilities, or experience in customer service or a related field preferred
- Preferably with experience in My CRM/Apply Online
- Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendars
- Experience with Google Docs, cloud services, and other technology tools
- Knowledgeable in technology to communicate via computer, smartphone, or text
- Highly organized multitasker who works well with fast-paced directions and instructions
- Demonstrates excellent time management
- Able to organize and manage large amounts of files, tasks, schedules, and information
- Self-directed and able to work without supervision
- Excellent verbal and written communication skills
- Strong customer-service and presentation skills
