Executive Administrative Assistant

Job Summary:
The Executive Administrative Assistant is highly organized and skilled in providing comprehensive support to our CEO as well as coordinate the administrative aspects for the CEO's direct report. The successful candidate will play a critical role in ensuring the efficient operations of daily activities as well as provide project management support for improvement in travel/other applications.
Responsibilities:
Manage the CEO’s schedule with setting appointments, scheduling meetings, and ensuring the calendar is up to date, organized and efficient.
- Handle emails and correspondence.
- Booking travel arrangements accommodations, and transportation.
- Handle a variety of administrative tasks, including preparing documents, Board of Director materials, communication materials, and agendas for meetings.
- Act as a gatekeeper, screening and managing access as needed.
- Assist with event planning, organizing meetings including monthly, quarterly and annual Operations Review events.
- Handle expense reports, budget tracking, and financial documentation as needed.
- Conduct research and gather information on various topics as requested.
- Act as the liaison between the CEO and team members and external parties as needed.
- Be proactive in identifying and resolving issues or challenges with projects that may arise, and development improvement solutions.
- Manage deadlines and timelines to ensure projects progress smoothly.
- Perform data entry tasks for record-keeping and analysis.
- Strive to provide excellent customer service and satisfaction with team members and external contacts
- Maintain the highest level of confidentiality regarding sensitive information and discussions.
Qualifications
Requirements:
- 3 to 5 years of proven experience as an Executive Administrative Assistant or similar role.
- High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Outstanding organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to maintain professionalism and confidentiality at all times.
- High attention to detail and accuracy.
- Strong problem-solving abilities and resourcefulness.
- Strong Project Management skills, to assist in managing and overseeing special projects and initiatives as directed.
- Adaptability and the ability to work in a fast-paced, dynamic environment.
- Exceptional interpersonal skills and the ability to work collaboratively with all levels of staff and external clientele.
- Bachelor's degree or equivalent work experience preferred.
- Previous experience in project management is a plus.
